Field service dispatch software

Jobs come in by phone and email, visits are planned on a whiteboard or in a spreadsheet, and service reports get retyped when the technician is back. We build a dispatch system around exactly how your service business works.

Technician scheduling that lives in one person's head

In most field service companies, dispatch depends on one or two people. They know who is where, who can handle which equipment, which customer is waiting and what fits on the way. When they are sick or on holiday, technician scheduling falls apart.

The technician hears about a job by phone, copies the address into their phone, fills in a paper report on site, and someone in the office then retypes it into the system and into invoicing. Every retype costs time and causes mistakes – and at the end of the month people chase what was actually done and what never got invoiced.

Off-the-shelf field service tools solve only part of this. They are built for the average company, so you work around them with spreadsheets, notes and phone calls. Custom dispatch software follows your process: your job types, your scheduling rules and your service reports.

Where it hurts today

  • Jobs arrive by phone, email and through sales, and are never in one place.
  • The visit plan is on a whiteboard or in a spreadsheet only the dispatcher can read.
  • Technicians call the office for the address, the contact or the equipment history.
  • Paper service reports are retyped by hand back at the office and sometimes get lost.
  • Finished jobs are invoiced late or not at all, because the office learns about them after the fact.
  • The service history is scattered, so it is hard to find what was done at a customer last time.

What the dispatch system does

All jobs in one place

Every request – by phone, email or from sales – becomes a job with the customer, address, equipment and date. The system can read an order from an email and pre-fill it.

Technician scheduling

The dispatcher sees in a calendar who is free and where, and assigns the job by your rules, for example by skill or area.

A mobile view for technicians

Technicians see their jobs for the day on their phone, with the address, contact and service history. No calls to the office.

Service reports on site

The technician fills in the report on the phone using your template, adds photos and the customer's signature. It reaches the office straight away, with no retyping.

Invoicing from finished jobs

A finished job with materials and labour is ready to invoice. The system connects to your invoicing or accounting software, as long as it offers an API or export.

Service history and alerts

Each customer and piece of equipment has its service history. The system keeps an eye on regular inspections and open jobs and tells you when something needs action.

How it works

  1. Step 1

    A 30-minute call

We go through how you plan visits today and what slows you down. No strings attached, and you don't need a specification.

  2. Step 2

    Scope and price up front

We pick the smallest piece that delivers real value – often jobs and the technician's mobile view – and agree the scope and price before we start.

  3. Step 3

First working version in about 3 weeks

We build it and put it in the hands of the dispatcher and technicians. We show progress as we go and adjust based on their experience.

  4. Step 4

    Month by month

We add more parts and integrations based on what real use shows. You own the code and documentation, running it with us is optional, and you can stop any time.

What it costs

Development

$1,900per month of work

Development is charged per month of work. Smaller jobs take only part of a month and cost proportionally less – we agree the scope and price up front. A small app is usually done in a few weeks, a bigger one in 2–3 months. No commitment, month to month.

Running it (optional)

The code and documentation are yours – run it yourself or anywhere you like. If you'd rather not deal with it, we're happy to host and look after it.

Small app (up to 5 users)
$199per month
Standard
$390per month

Bug fixes are included in running costs; new features are built as further development (same rate, price agreed up front).

Common questions

How much does custom dispatch software cost?

Development is charged at a rate per month of work – see What it costs for the amount. Smaller jobs take only part of a month and cost proportionally less; we agree the scope and price up front. Running it with us is optional and billed monthly, with no per-user fee.

When is it not worth it?

If you have a few technicians, an off-the-shelf field service tool fits you without changes and nothing gets retyped around it, keep it. The same goes if a shared calendar and a spreadsheet are enough. Custom software pays off where you work around the box with spreadsheets and phone calls, or pay per user in several tools.

Will it connect to our accounting and invoicing?

Yes, as long as your software offers an API or export – for example QuickBooks or Xero. We don't replace your accounting; the system sends it the data from finished jobs.

Do technicians need to install an app?

It depends on what suits you. It can be a web app that runs in the phone's browser or a mobile app. We decide at the start based on how your technicians work.

Won't we be locked in?

No. You own the code and documentation from day one. You can run the system yourself or anywhere you like, and another developer can take it further.

Custom software instead of a box

We build every solution the same way: for exactly how you work, connected to what you already use, and you own the code and documentation.
