Client portal for accounting firms

Documents arrive by email, through file-sharing links, in envelopes and at the last minute. A client portal for your accounting firm puts every client's documents in one place and reminds them what is still missing.

Collecting documents from clients without chasing emails

An accounting firm spends a lot of time every month just gathering paperwork. One client emails invoices, another sends a file-sharing link, a third drops off an envelope and a fourth sends everything the day before the deadline. Then someone works out what has arrived and what is missing.

Reminders are written by hand, processing status lives in a spreadsheet, and clients call to ask whether their return is done. The more clients you have, the more time goes into communication instead of the accounting itself.

A custom client portal for an accounting firm follows your process: your deadlines, your types of documents and your monthly checklist for each client.

Where it hurts today

  • Documents arrive by email, via file-sharing links and on paper, never in one place.
  • You can't see at a glance which client still owes you what.
  • Reminders about deadlines and missing documents are written by hand, client by client.
  • Processing status is kept in a spreadsheet and clients ask about it by phone.
  • Documents have to be sorted and renamed by hand before they are booked.

What the client portal does

Documents in one place

Clients upload documents to their account in the portal, sorted by month and type. You have them together for each client, with no digging through email.

A monthly checklist

Each client has a list of documents they owe you for the month. You see what is done and what is missing, for all clients on one screen.

Deadlines and reminders

The portal keeps track of deadlines and missing documents and sends clients reminders on its own. You don't have to chase anyone.

Processing status

Clients see which stage their bookkeeping or return is at, so they don't need to call. You update the status with one click.

Pre-filled documents

The system can read incoming invoices and documents and pre-fill them for a quick check. We add an integration with your accounting software if it allows it.

How it works

  1. Step 1

    A 30-minute call

We go through how you collect documents from clients today, which deadlines you have and what slows you down. No strings attached, and you don't need a specification.

  2. Step 2

    Scope and price up front

We pick the smallest piece that delivers real value – often document upload and the monthly checklist – and agree the scope and price before we start.

  3. Step 3

First working version in about 3 weeks

We build it and try it with a few clients. We show progress as we go and adjust based on their experience.

  4. Step 4

    Month by month

We add more clients, reminders and integrations based on what real use shows. You own the code and documentation, running it with us is optional, and you can stop any time.

What it costs

Development

$1,900per month of work

Development is charged per month of work. Smaller jobs take only part of a month and cost proportionally less – we agree the scope and price up front. A small app is usually done in a few weeks, a bigger one in 2–3 months. No commitment, month to month.

Running it (optional)

The code and documentation are yours – run it yourself or anywhere you like. If you'd rather not deal with it, we're happy to host and look after it.

Small app (up to 5 users)
$199per month
Standard
$390per month

Bug fixes are included in running costs; new features are built as further development (same rate, price agreed up front).

Common questions

How much does a custom client portal cost?

Development is charged at a rate per month of work – see What it costs for the amount. Smaller jobs take only part of a month and cost proportionally less; we agree the scope and price up front. Running it with us is optional and billed monthly, with no per-client fee.

When is it not worth it?

If you have a few clients who send documents on time, or the ready-made portal that comes with your accounting software works for you without changes, keep it. A custom portal pays off where collecting documents and sending reminders takes a lot of time every month and off-the-shelf tools can't follow your process.

Will the portal connect to our accounting software?

If your software allows it – that is, it offers an API or import – we pass the documents into it. What exactly is possible we check on the first call for your software and version. We don't promise anything in advance.

Where are clients' documents stored?

If we run the system for you, we host it with regular backups, security updates and round-the-clock uptime monitoring. You own the code and documentation, so you can also run it yourself or anywhere you like.

Won't we be locked in?

No. You own the code and documentation from day one, and another developer can take the portal further.

Custom software instead of a box

We build every solution the same way: for exactly how you work, connected to what you already use, and you own the code and documentation.
